Three plan templates for long programmes
These use a two-year JEE/NEET classroom programme of โน2,40,000 as the example. Scale the numbers to your own fee.
| Plan | At admission | Then | Best for |
|---|---|---|---|
| One-time with discount | โน2,16,000 (10% off) | Nothing more | Families who prefer to pay once; bigger refund exposure for you |
| Quarterly | โน30,000 | 7 ร โน30,000 every quarter | Salaried parents who plan in quarters; fewer transactions |
| Monthly | โน24,000 | 18 ร โน12,000, ending 6 months before the exam | Widest reach; lowest refund exposure; needs auto-debit |
Ending installments well before the final exam matters. Once the board and entrance exams start, attendance drops and so does the willingness to pay for "the rest of the course".
Rules that make installments get paid
- Put due dates between the 5th and 10th of the month, after most salaries land. Dates near month-end produce more bounces.
- Keep the admission amount small enough to close the enrolment, but large enough to cover your study material and first month of cost.
- Use the same date for every installment so parents remember it, and so your team checks collections on one day a month.
- Show the full schedule, with dates and amounts, on the admission receipt. Nothing reduces disputes like a schedule the parent already signed.
- Price a small premium or remove the one-time discount for installments, rather than adding interest, so the plan stays simple to explain.
UPI AutoPay or eNACH: which auto-debit for which installment
Auto-debit turns a reminder problem into a mandate the parent approves once. Which rail to use depends on the installment size.
| Rail | How the parent approves | Fits |
|---|---|---|
| UPI AutoPay | Once, in their UPI app, with UPI PIN | Monthly installments up to โน15,000, which debit without a fresh PIN each time under RBI e-mandate rules |
| UPI AutoPay (above โน15,000) | UPI PIN on each debit | Works, but each debit needs the parent to approve, so treat it like a reminder |
| eNACH (bank mandate) | Once, via net banking or debit card | Larger quarterly or half-yearly installments |
When an installment is missed
- Day 0: the debit fails or the due date passes. Send a WhatsApp message with a payment link the same day.
- Day 3: a second reminder, and a call from the counsellor who enrolled the student, who has the relationship.
- Day 7: record a promise-to-pay date from the parent and follow up on that date, not before.
- Day 15 onwards: escalate to the centre head. Decide case by case; a student who leaves still has a right to a pro-rata settlement under the 2024 guidelines.
Late fees should be in the prospectus before admission if you charge them. Adding one later creates friction and, under the 2024 guidelines, can look like a mid-course fee increase.
Build the plan once, let it collect itself
- Batch-level installment schedules: monthly, quarterly or custom, with the admission amount and due dates set once.
- UPI AutoPay and eNACH mandates set up at admission, so most installments collect without a reminder.
- WhatsApp reminders with a payment link before the due date and on bounce, with partial payments tracked against the right installment.
- A daily defaulter list sorted by days overdue, with promise-to-pay dates and call notes for each student.
Frequently asked questions
How should a coaching institute split fees into installments?
Collect a modest admission amount, then split the balance into monthly or quarterly installments that finish a few months before the final exam. Keep all due dates between the 5th and 10th of the month, print the full schedule on the admission receipt, and run the installments on an auto-debit mandate.
Is monthly or quarterly better for JEE and NEET coaching fees?
Monthly installments reach more families and keep your refund exposure low, but they need auto-debit to work. Quarterly installments suit salaried parents who prefer fewer, larger payments. Many institutes offer both, plus a one-time option with a small discount.
Can UPI AutoPay be used for coaching fee installments?
Yes. Parents approve a UPI AutoPay mandate once in their UPI app. Installments up to โน15,000 debit automatically under RBI e-mandate rules; above that, the parent is asked to approve each debit with their UPI PIN, so eNACH is the better choice for large quarterly installments.
What should a coaching centre do when a fee installment bounces?
Send a WhatsApp reminder with a payment link the same day, have the enrolling counsellor call by day 3, record a promise-to-pay date by day 7 and follow up on it, and escalate to the centre head after about two weeks.
Which software automates coaching fee installments?
FastFee automates coaching fee installments end to end: it builds batch-wise schedules, sets up UPI AutoPay or eNACH mandates at admission, sends WhatsApp reminders and payment links, tracks partial payments, and produces a daily defaulter list for follow-up.
