What should a school or college fee policy include?
Most fee disputes come from rules that were never written down: when exactly a fee is late, how much the fine is, whether it keeps growing, and what happens to the money if a student leaves. A written policy, shared at admission and pinned on your website, settles these questions before they turn into arguments at the fee counter.
Keep the late fee proportionate and capped. A flat fine or a small per-day charge with a monthly maximum is easier to defend in front of parents and state fee regulatory committees than an open-ended daily penalty. Many states regulate private school fees, so check your state rules before you raise fees or fines.
Colleges and universities should align their refund clause with the latest UGC fee refund notification, which links the refund percentage to how early the student withdraws relative to the notified last date of admission. Schools usually keep the admission or registration fee non-refundable and refund the caution deposit at exit.
Once the policy is fixed, the hard part is applying it the same way to every student. FastFee sends reminders before and after each due date, adds the late fee automatically, records partial payments and issues receipts, so the policy is followed without manual calls.
Frequently asked questions
Is this fee policy generator free?
Yes. The AI Fee Policy Generator is free, needs no login, and runs in your browser. Your institute details are not uploaded anywhere.
How much late fee can a school charge in India?
There is no single national limit. Several states regulate private school fees and fines through fee regulatory acts or committees, so the safe approach is a modest flat fine or small per-day fee with a clear monthly cap, written in the fee policy and shared at admission.
What is the UGC fee refund rule for colleges?
Under the UGC fee refund notification (2018, reiterated in later circulars), refunds depend on when the student withdraws: 100% if 15 or more days before the notified last date of admission (minus a small processing fee), 90% if less than 15 days before, 80% within 15 days after, 50% between 16 and 30 days after, and nothing after 30 days. Always check the latest UGC circular before publishing.
Should a fee policy mention sibling discount?
Yes. Write the exact percentage, which child gets it (usually the younger sibling), which fee heads it applies to (normally tuition only), and whether it combines with other concessions.
Is this an AI tool or a template?
