A simple reminder sequence that keeps the relationship intact
Send the first reminder within a few days of the due date. Most late payments are simply forgotten, and a polite note with the invoice attached is enough.
If there is no reply after about two weeks, send a firm follow-up with a specific pay-by date. If you are a registered MSME supplier, the MSMED Act, 2006 requires buyers to pay within the agreed period, which cannot exceed 45 days, and interest applies on delayed payments. The letter can mention your Udyam registration number.
A final notice should state exactly what happens next, such as pausing work or supply, and the date it happens. Keep every message factual and professional, because it may later be part of a dispute record.
Frequently asked questions
When should I send a payment reminder?
A common sequence is a friendly reminder 1โ3 days after the due date, a firm follow-up after 14 days and a final notice after 30 days. Adjust to your payment terms.
Can I mention interest on late payment?
Yes, if your invoice or contract states it, or if you are a registered MSME supplier covered by the MSMED Act, 2006. The tool adds an optional line for this.
Is a reminder on WhatsApp acceptable?
For most small businesses in India, yes. Send the email or letter for the formal record and a short WhatsApp message to get attention.
Is this a legal notice?
No. It is a business reminder. A legal notice should be drafted and sent by a lawyer.
